When you create an account to access the client portal or T.E.R.M.S. Vault, identity verification and credential management are powered by Google Firebase Authentication.
We store your primary email address, unique Firebase User ID (UID), account creation timestamp, and last login timestamp. We never view, log, or store plaintext passwords; password hashing and cryptographic authentication tokens are managed securely by Google Cloud infrastructure.
4. AI Concierge (“Alfred”) Conversations
When engaging with Alfred, our conversational AI assistant, messages and transaction queries are processed server-side using the Google Gemini API.
- Contextual Transcripts: Conversation logs may be maintained during your session to provide coherent follow-up answers and facilitate agent handoffs upon your request.
- Data Hygiene Guardrails: Users are instructed never to enter Social Security numbers, bank routing credentials, credit card details, or unredacted tax returns into conversational chats.
- Educational Disclaimer: Alfred produces educational scenarios and general guidance. Outputs do not constitute binding contracts, formal mortgage approvals, or professional legal advice.
5. Document Uploads, Screenshots & Contract Files
Users may upload property photos, repair scope documents, mortgage payoff notices, warranty deeds, or purchase contracts into our evaluation engines or Vault.
Uploaded files are stored in protected Google Cloud Storage buckets governed by strict access-control rules. Documents are reviewed exclusively by authorized transaction coordinators, title partners, and authorized settlement or transaction professionals for the express purpose of transaction feasibility analysis.
6. Resource Downloads & Guides
When you download free educational resources (including the Credit Defense Guide, seller guides, or open-source contract templates), we may log your download request and contact details to deliver updated versions, addendums, and relevant municipal legal updates.
7. Usage Data & Technical Telemetry
When you navigate our website, our servers automatically collect standard technical metrics:

13. Data Retention & Michigan LARA Compliance
Under Michigan Department of Licensing and Regulatory Affairs (LARA) Occupational Code (Act 299 of 1980) and administrative rules, licensed real estate brokerages are required to retain transaction records, listing agreements, purchase offers, agency disclosures, and trust account records for a minimum statutory period of three (3) to six (6) years.
Non-transactional inquiries, preliminary drafts, and unauthenticated visitor telemetry are periodically purged or anonymized in accordance with our operational retention schedules.
